This Privacy Policy explains how we collect, use, store, and safeguard your information when you use the Clerus platform and its related products and services (collectively, the "Services"). By using the Services, you consent to the data practices described in this policy.
Information We Collect
We collect information you provide directly to us when you create an account, use the platform, or communicate with us. This includes:
Name, title, and contact information (email address, phone number)
Home address and geographic coordinates for distance-based matching
Religious order affiliation
Diocese and worship site associations
Notification and communication preferences
Mass coverage activity (requests posted, Masses claimed, scheduling history)
We also automatically collect certain technical information when you access the Services, including browser type, IP address, and usage patterns, solely for platform security, performance monitoring, and improving the user experience.
How We Use Your Information
Your information is used exclusively to operate and improve the Clerus platform. Specifically, we use your information to:
Facilitate Mass coverage coordination between priests and diocesan administrators
Send notifications about coverage opportunities, reminders, and scheduling updates via email
Send SMS alerts (coverage reminders and urgent coverage alerts) if you have opted in
Calculate distances between your location and worship sites for matching purposes
Generate weekly reports and digests for authorized worship site administrators
Maintain audit trails of administrative actions for diocesan accountability
Provide customer support and respond to inquiries
We do not sell, rent, or trade your personal information to third parties. We do not use your information for advertising or marketing purposes unrelated to the core scheduling functionality of the platform.
Information Sharing
We share your information only in the following limited circumstances:
Within your diocese: Your name, title, and contact information may be visible to other authorized users within your diocese for the purpose of coordinating Mass coverage. Phone numbers are only shared in connection with a specific coverage request when you or the other party have opted in to share.
Diocesan administrators: Administrators within your Subscribing Diocese have access to your profile information, scheduling activity, and coverage history to manage their diocesan roster.
Service providers: We use third-party services to operate the platform, including cloud hosting, email delivery, and SMS messaging. These providers process data on our behalf and are contractually obligated to protect your information.
Legal requirements: We may disclose your information if required by law, legal process, or government request.
SMS Communication & Opt-Out
Clerus may send you text messages if you opt in via the SMS consent checkbox in your account settings.
The only two types of SMS messages sent by Clerus are:
Coverage reminders: Reminders about upcoming Masses you have claimed
Urgent coverage alerts: Notifications about unfilled weekend Masses within 48 hours that need immediate coverage
You will not receive text messages unless you have explicitly opted in. SMS consent is not a condition of using Clerus. Message frequency varies based on your coordination needs. Msg and data rates may apply.
You may opt out of receiving text messages at any time by replying STOP to any message you receive. We will send a final confirmation message to verify your unsubscription. After this, you will no longer receive SMS messages from Clerus Solutions, LLC. You may re-enable SMS at any time through your account settings.

Mobile Information No-Sharing Policy
We respect your privacy. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Data Storage and Security
The Services are hosted in the United States. By using the Services, you consent to having your data transferred to and processed in the U.S. We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction, including encryption of data in transit and at rest.
While we strive to protect your personal information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your data.
Data Retention and Export
We retain your personal information for as long as your account is active or as needed to provide the Services. If your Subscribing Diocese's agreement with us expires or is terminated, an authorized representative of the Diocese may request a data export in writing within 30 days. After 30 days, we reserve the right to delete the data.
Individual end-users may not independently request a data export. If you wish to have your account data removed, please contact your diocesan administrator or reach out to us directly.
Third-Party Services
The Services may integrate with third-party calendar applications (such as Google Calendar or Microsoft Outlook) and may contain links to external websites, such as parish websites. We do not control these third-party services and are not responsible for their privacy practices, availability, or content. We encourage you to review the privacy policies of any third-party services you access through or in connection with Clerus.
Children's Privacy
The Services are intended for users who are at least 18 years old. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have collected information from a minor, we will take steps to delete that information promptly.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by email or by displaying a prominent notice within the Clerus application. Your continued use of the Services after such modifications constitutes your acknowledgment and acceptance of the updated policy.
